Managing Shared Assets

Overview

The Tracking and Sharing table contains a record of all sharing and evidence requests from across Getac Evidence. By default, the table will display the latest entries first.

Reference Title

Title of the share or evidence request. The title is a hot link to the "Share Details" or "Request Details" tabs for that entry.

 

Each share type follows a predefined format for the title:

  • Asset Shared - The Name of the first Asset being shared.
  • Case Share - The Case ID of the Case being shared.
  • Case Evidence Request - The Case ID of the Case evidence has been requested for.
  • On-Site Evidence Request - "Onsite_"+Officer Name+ Full Date.
Share Type

Shows one of the following 3 types:

  • Asset
  • Case
  • On-site (Mobile App request)
Recipients List of all recipients associated with that entry.
Shared By

Name of the Getac Evidence user that initiated the share.

Note: An existing share or evidence request can be updated or renewed by another user without impacting this entry.

Shared On Date the share was initiated.
Time Remaining

Number of months, days, or hours left before the share becomes inactive.

Shows  if the users has selected that option.

Request Type

Shows one of the following three types:

  • FOIA Request
  • Evidence Request (applicable to Cases and Mobile App On-site requests)
  • Share External (applicable to Assets and Cases)

 

Table Actions

When active, each entry will have three actions. The actions are standardized for all entries, but will have slightly different labels depending on whether the entry is assosciated with a share (Asset/Case) or evidence (case/mobile app) request.

Update Share Options/Update Request Options

Directs the user to the "Share Details" tab to review or change the Permissions parameters for the related share or evidence request:

This action is only available when the share is active

 

View Audit Trail

Directs the user to the "Audit Trail" tab view or to download the audit trail of that entry. This option is always available, regardless of the share/request status, type, or application permission, to access the Sharing module.

 

 

Info:

If a share is not active, selecting the Reference Title wil automatically bring the user to the Audit Trail page.

 

Revoke Access/Revoke Evidence Request

Allows for the immediate expiration of sharding rights to a particular entry. The revoke action is effective immediately and will apply to ALL recipients in the share.

Share Details

The Share Details page has two areas:

  • The Recipient information and messaging - NOT EDITABLE
  • The Permission or additional Contact information - EDITABLE

 

 

 

 

Audit Trail

The Audit trail for a share or evidence request entry follows the same format as all other Audit trails across Getac Evidence.

Info:

If a share is not active, selecting the Reference Title on the Sharing table will automatically bring the User to the Audit Trail page.
