Closing a Case

Once a case has been finalized, it can be closed to return Assets to their original retention period or expire immediately. To close a Case, select Close case from the Action menu to open the modal window.

Form Entry Description
Close Option Required. Defaults to Close and Release Assets.

Close options:
  • Close and Release Assets – Release assets back to the original retention. If retention has expired during the case, assets are marked for deletion.
  • Close and Expire Assets – Immediately expire all evidence assets associated with the case, regardless of original retention policy.

Note:

Anyone can select Close and Expire Assets, but it is only enforced for users with the Close Case Approval application permission.

Reason * Required. Reason entries are customizable and can be edited or added in Setup > Tenant Settings > Asset & Case Settings.
Request Expiration Required. Defaults to Immediate.

Request Expiration options:
  • Immediate – Flags the case for closing as soon as the next job scheduler runs (typically within 10 minutes).
  • Future – Allows setting a future date for case closure.
